Overview
Scheduled report allow users to receive MySAIVA reports as a scheduled email push containing an attachment or either PDF of CSV document. Subscribing to a schedule for a report is an easy process that involves the following main two steps:
- Access and view a report you wish to subscribe to and set the desired constraints (facilities, time frame etc)
- Create a new subscription
Create a New Subscription
Once your report is properly configured using your desired constraints such as facilities and report time frame, you can create a new report subscription from the Subscription menu by selecting New Subscription:
Next, the New Schedule popup will show up and will allow you to configure the subscription schedule:
Give your schedule a unique name and select the format to either CSV or PDF. To set the repeat schedule, configure the bottom row of controls.
Note: The configuration will vary depending on the type of report and the repeat schedule.
Finally, select the desired report email send time and the time zone. Click on Schedule to create the new subscription schedule.
The Report Time Frame (and other settings)
The scheduled report time frame is automatically set according to your screen settings. For example, if the report shows a 3 months window from which you've created a subscription, then the scheduled report will compute a sliding window of the last 3 months from the current time.
Note: If you need to change the report constraints such as time frame, list of facilities and other report-specific options, you will need to create a new subscription from scratch.
Testing, Modifying and Deleting a Subscription
Once the subscription schedule has been set, you can test it and modify its settings. There are two ways to access this functionality:
1. Using the Report's Subscription Menu
Access the report with the subscription to be modified or tested, click on the Subscription menu and choose Manage Subscription:
From the Manage Schedules popup, select an action from the menu on the right:
- Enabled/Disabled: Use the Enabled/Disabled switch to temporarily pause the scheduled report
- Duplicate: Copy this schedule into a new schedule. Use this to create another identical schedule for this report that can be modified later on to accommodate slightly different settings.
- Delete: Delete the schedule
- Edit: Show the Edit Schedule popup:
To test your scheduled report, use the Send Now button to send yourself a test message. Note that the there could be a slight delay, a few minutes depending on system load, until the report is sent. If you haven't received the report, please check your spam folder.
You can also make modifications to your report schedule. Click on Save Changes to apply the modifications. You can also delete the schedule from this popup.
2. Using The Reports Module's Schedules Tab
You can view and manage all report schedules from one place by clicking the Schedules tab in the reports module:
This will show a list of schedules for all reports. You can now use the menu on the right to test and/or manage each report as explained in the previous section:
Receiving & Reading Schedule Reports
The scheduled report will be delivered to your registered user's email address at the designated schedule:
Note that the message may look slightly different depending on your email client type and screen resolution. To view the report, open the attached document (daily prediction report in PDF format in the above example). The message body also contains a link to easily access the schedule configuration in MySAIVA using one-click.
